COMMUNICATIONS & KNOWLEDGE MANAGEMENT INTERN (m/f/x) - MSF International

Are you looking for an opportunity to contribute to meaningful projects within the field of communications at MSF? MSF International is looking for an intern for its Communications team (with a specific focus on Knowledge Management) for the next 6 months (with an internship agreement delivered by a school/university).

ABOUT MSF INTERNATIONAL

Médecins Sans Frontières (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based on need and irrespective of race, religion, gender or political affiliation. 

MSF International is the legal entity that binds MSF’s 24 sections, 25 associations and other offices together. Registered in Switzerland, MSF International provides coordination, information and support to the MSF Movement, as well as implements international projects and initiatives as requested.         

ABOUT THE INTERNSHIP

The Communications Department of the International Office (IO) supports the efforts of MSF operational centres and sections by coordinating key strategic and technical platforms and leading on specific transversal communication dossiers that benefit the whole MSF movement. 

Within this department, the Communications and Knowledge Management Adviser works to ensure that the communications community in MSF remain well informed and connected. This is done through the daily facilitation of exchanges, internal accountability and knowledge/information sharing within the MSF communications community, but also the review of the way the MSF communications community shares information, guidance, and expertise, and the monitoring and analysis of the output and impact of communication packages shared in the movement. To achieve that, the Communications and Knowledge Management Adviser interacts on a very regular basis with a wide range of people across hierarchical and geographical lines and works in close partnership with the members of the three Units in the IO Communications Department (AV, editorial, and Digital Engagement).

This internship is meant to provide support to the Communications and Knowledge Management Adviser in her daily tasks, and in improving, more generally, the level of information and connection within the MSF communication community. 

YOUR MAIN RESPONSIBILITIES 

MAPPING OF THE COMMUNITY

  • Contribute to providing a better assessment of the MSF communications community, by working on a full inventory & analysis of who is on the main mailing list used within the community. This will help make a more informed decision about the recipients and name of the list in the future and will define some of the major changes to foresee in the community. 
  • Keep several mailing / contact lists up-to-date and/or assess how to best integrate them into existing or future Teams groups, in collaboration with the Communications & Knowledge Management Adviser. 
     

OVERVIEW & ANALYSIS OF PRODUCTIONS

  • Responsible for keeping the Comms Index (tool keeping track of all productions) up to date and contributing to the yearly analysis of content. 
  • Contribute to the analysis of MSF’s communications by preparing, collating and disseminating the results of monthly feedback loops. 
  • Work on retrospective archiving to increase institutional memory. This will involve renaming, triaging and archiving retrospectively what’s been shared within the community over the past years in the respective folders on the Communications Portal.

COMMS & KNOWLEDGE MANAGEMENT

  • Support the Communications & Knowledge Management Adviser with the creation of tutorials and “how to” documents: Draft FAQ on Teams & Sharepoint use and provide more ad-hoc support to people needing it across the network and the conduction of webinars. 
  • Support the Communications & Knowledge Management Adviser in redefining and improving the environment of the MSF communications community (which might include creating pages on Sharepoint or helping in setting up new Teams groups) and, more generally, in providing support / advice to people within it. 

YOUR PROFILE

  • Genuine interest in, and commitment to, the humanitarian principles of MSF.
  • Studies ongoing in the field of Information & Knowledge Management, Communication, International Relations, Journalism or any other relevant field.
  • Good knowledge of Outlook, the Microsoft Suite, SharePoint, Teams. 
  • Knowledge of Canva and AI tools are an advantage. 
  • Knowledge, experience and/or interest internal communications, information & knowledge management.
  • Good written and oral communications skills in English, French is an advantage/asset.
  • Excellent organisational skills with demonstrated ability to execute projects on time but also a certain level of flexibility when asked to re-arrange deadlines / projects. 
  • Rigorous, with a high level of attention to detail.

CONDITIONS 

  • Expected starting date: February 2025, ideally for six months (but willing to discuss less).
  • Location: Brussels (Belgium) – Expectation to come to the office at least once a week.         
    *Due to legal administrative constraints, future interns must already reside in Belgium with the right to stay and study in Belgium within a Belgian study establishment; or reside in Europe as part of studies in a European study establishment (accepting that the internship is carried out in another European country), have a right of residence and study in Europe and be ready to move and find accommodation in Belgium for the duration of the internship at their own expense  
  • Contract type: Unpaid student Internship - mandatory student internship with school convention  
  • Internship duration:  6 months ideally, 3 months minimum
  • Time allocation: Full-time
